How to pre-fill the legal information in order to draw up the quote?

All you need to do is fill in the contact details as well as all status and company information. This data will be pre-registered for future quotes and invoices. It is essential to fill in all the fields: status, Kbis, SIRET number, legal mentions...

How to fill in a quotation ?

Experts don't have to create their own quotes. They can use the template proposed on the marketplace, which saves them time, including sending it to the company (integrated button). The amount of commission charged by International Mission will be displayed automatically. It is recommended to fill in this key document carefully and diligently: reformulate the objectives and terms of the mission, the nature of the deliverables, the specifics if they exist, specify the means deployed to achieve the objectives, roadmap, schedule, remind the strengths of the profile, add a customized message ... Special case: the company is a private individual. Can experts contract on Mission Internationale with a private individual? The answer is yes. This means that an estimate can be drawn up for an international assignment.

Is it possible to draw up an estimate before the mission in order to detail the specifications?

Mission Internationale encourages the experts to draw up a first quotation corresponding to the framing of the specifications phase and/or diagnosis and/or audit if the elements are not precise enough to start the mission properly speaking.

How to modify a quotation ?

An estimate can be modified until the company or the expert indicates that the mission is completed. This option is very useful if the mission is extended. The company is notified when the expert amends the quote.

How do you know if the company has accepted the quote ?

The expert receives an email and sms notification when the company validates the quote. It is also possible to see in the expert's dashboard the quotes under consideration and those accepted. The acceptance of the estimate by the company acts as a signature.

Is it possible to add legal notice to the quote ?

It is possible to add legal notices, knowing that these make it possible to specify the regulatory context of the mission. The experts can highlight the elements which seem necessary for the good execution of the mission (exclusivity clause, legal clauses, VAT...). These mentions may be reused for future missions.

How do I work with my own clients on Mission Internationale ?

Mission International as a trusted third party offers a secure environment for both the expert and the company. Experts are encouraged to work with their regular clients on the marketplace to facilitate the management of administrative and legal aspects, and to ensure both parties more fluidity and efficiency in the processes. Please note: the expert's clients will be able to benefit from the Pro Liability insurance. The advantage for the adjuster who refers his clients on the marketplace is twofold. On the one hand, he can gather good assessments and recommendations very quickly, which strengthens his legitimacy and his capital of confidence. On the other hand, the expert benefits from a discount on the commission for the first mission carried out with the client newly listed on Mission Internationale. Moreover, as a business contributor, the expert benefits from a reduced commission from the first quotation with his client as well as for all quotations for future missions with this same client. To invite the client and carry out a mission via the marketplace, simply create a quote specifying the client's contact details and information. The quote will be sent to the email address indicated and the customer will only have to create his account to accept it. The processes of payment, validation and recommendation then remain the same.

Is it possible to change the average rate during the mission ?

It is not possible to change the rate during the mission. A change can only occur in the course of a new assignment.

What to do in case of a mission over the long run (three months and beyond)

In the case of a medium or long-term assignment, the company is not in a position to make an advance payment due to the marketplace's configuration. In order to enable the expert to receive an interim remuneration without having to wait until the end of the mission, it is recommended to divide the mission into several sub-missions. With this in mind, it is recommended that several monthly quotations be drawn up with clearly identified objectives in order to allow regular payments.

What happens in case of disputes ?

In the event of difficulties, disagreements and/or conflicts between the expert and the company during the course of the assignment, the marketplace is not liable in any way (cf. GTC/UGC). Mission Internationale recommends to try to find an amicable solution in the interest of both parties.

International tax management

When the expert and the company are located in two different countries, outside the European Union, no tax applies. The amount excluding VAT is equivalent to the amount including VAT. When the expert and the company are both based in the European Union, and in the case where both parties have an intra-community VAT number, VAT cannot be added (case of reverse charge). In the case where one of the two parties does not have an intra-community VAT number, VAT must be added to the quotation. When the expert and the company are located in the same country, all taxes specific to the legal status apply.

Does Mission International earn interest on the funds in the escrow account?

Funds transferred to the billeting account are not the property of Mission International. They belong to companies and experts and are not placed in Mission International's bank account. They are placed in a bank account of Mission International's payment solution partner, Mangopay.

Why are your payments secure ?

Mission Internationale, through its partner Mangopay, uses a pre-payment system. The expert is guaranteed to receive the fees due at the end of the mission as soon as the mission is closed and the mission report validated by the company. With Mangopay, the amount of the transaction is blocked on an account for the time the mission is completed. The expert is reassured because he knows that the company has already prepaid his fees. The funds are released at the end of the mission if the mission was successful.

How to print the purchase order form ?

To print a purchase order or an invoice before the mission begins, the expert must wait for the client's validation. Once the estimate is accepted, the purchase order appears on the screen, as does the company. To print, simply click on the link "print the purchase order".

How to receive the funds when they are released by the company ?

First of all, it is important that the expert enters and registers the banking information and downloads the legal documents. The funds are automatically transferred to the expert's account within 2 to 4 working days depending on the country, once the client has paid and validated the end of the mission.

How to get paid for a recurring mission ?

It is recommended to draw up an estimate each month to be validated by the company in order to set up the payment process.

What to do if a company does not validate the post mission report?

Mission Internationale sends a reminder of the validation request to the company as soon as the expert reports that the mission is finalized. Without any response from the company, and in the case of a provisioned mission, Mission Internationale keeps sending reminders.

Why is there a pre-payment obligation for the company?

Pre-payment allows the expert to start the mission in secure conditions and avoid working for a dubious client. When the company accepts the quote, it is invited to pre-pay the amount of the mission into a segregation account. Either by credit card or by bank transfer. Pre-payments by bank transfer can be longer, up to two working days (a transfer made on Friday will therefore be displayed on Tuesday), if the mission reference is correctly entered. The pre-payment makes it possible to secure the payment of the mission and to establish a framework of trust between the expert and the company. Thanks to this solution, the expert starts working once the funds have been paid and are blocked on a holding account.

How is the commission paid to Mission Internationale ?

The marketplace's commission is deducted from the amount received by the expert on the service. This commission of 10% excluding VAT is therefore deducted if and only if the quotation is accepted and paid by the company. It is strongly recommended that this commission be included in the calculation of the average rate. The commission is borne by the expert, and not by the client company.

How to cancel a quote ?

Simply click on "cancel proposal". It is possible to cancel or modify the quote as long as the client has not clicked on "end the mission".

How to manage the invoicing process ?

In order to be able to invoice a company for an assignment, it is sufficient to first draw up an estimate that the company will have to accept before pre-paying for the assignment. At the end of the mission, the expert will have to indicate that the mission is closed. The company will validate the mission report, which will trigger the final invoicing. All invoices can be consulted in the " Missions " section. It is useful to remember the importance of filling in the invoicing information on the quotation as it will be carried over to the invoice generated at the end of the mission. These data are therefore required.

Is it possible to add a logo on the invoices ?

It is not possible to insert a logo on Mission Internationale invoices, as the invoices are standard and based on a single template.

How to invoice for long term missions ?

When the expert carries out a long mission, it is recommended to divide the estimate into several monthly estimates. This will allow the company to pay the expert each month. To this end, do not forget to validate the end of the mission a few days before the end of the month so that the invoice is taken into account for the current month. It is advisable to prepare quotes each month for the following month.

What to do in case of rejection of my identity proof ?

The expert is notified by email that his document has been rejected. In this case, the document that has been rejected will have to be downloaded again in the correct format.

Why are the company's statutes required ?

This is a regulatory obligation which the payment provider Mangopay is subject to. The request for proof of identity and company documents is part of the KYC legal procedure.

How much time is needed to validate the legal documents ?

The legal documents provided as part of the KYC procedure are generally approved between 24 and 48 hours. Depending on the country, it may take slightly longer.

What is included in the professional third party liability insurance ?

Mission Internationale requires experts to be professionally insured in order to carry out the mission safely. Experts are invited to download their certificate of professional liability insurance. In the event that the expert has not already taken out an insurance policy, Mission Internationale proposes that they subscribe a "professional liability service provider" policy. The details of the cover taken out (in particular nature, limits, deductibles etc...) and the particular conditions of cover of the policy by Mission Internationale are available on request. What to do in case of legal status change ?

If the expert's status changes, it is necessary to update all the information in the "Company" part of the expert profile sheet (contact details, legal notices, VAT, legal documents). The legal mentions of the expert may be modified accordingly.

What happens in case of a mission is refused ?

Needless to say, an expert is not obliged to accept all offers of assignments. For various reasons (lack of availability, mismatch between the profile and the skills required, etc.), the expert may refuse an offer of an assignment. It is recommended to send a message to the company to inform it of this.

How to contact a company ?

Mission Internationale has taken the following position: companies contact the experts and not the other way around. Hence the importance of having as complete and attractive a profile as possible. Companies with which the expert already had a working relationship outside the marketplace can be contacted directly by the expert.

Is it possible to meet with the client ?

It is very likely that the expert and the company are located in two different countries, or even on different continents. In this case, the use of technological communication tools such as Skype, Zoom... is recommended to exchange and get to know each other. Needless to say, face-to-face meetings, when possible, can take place in parallel.

Why are the information displayed on the dashboard are not updated ?

The mission with a company has just ended, the funds have been released but the turnover counter remains the same. The time to receive the funds may be longer than usual for a technical reason for example. It is important to remember that the turnover displayed is that of the last 12 months cumulated.

What is the difference between the number of views and number of impressions ?

The number of views corresponds to the number of times the profile has been visited, i.e. when it has been displayed in full page on the web browser of a company (or another expert). The number of impressions corresponds to the number of times the profile was displayed on a search results page in the context of an expert search.

Is it possible to sponsor other experts and companies on Mission Internationale ?

An expert registered on the marketplace has the opportunity to sponsor a godchild (expert) or a company if he thinks that the platform brings a real added value to his business development and can be useful to his colleagues and/or clients. The sponsoring expert benefits from a percentage discount on the amount of the commission (10%) charged by the maketplace. Concretely, the expert receives a promotional code and becomes a sponsor. The referrer registers using the promotional code. The sponsored person carries out a first transaction on the International Mission marketplace. As soon as this step is completed, the sponsor can benefit from a discount on the amount of the commission for a future mission. A sponsor can have several goldchildren. Each new godchild is entitled to a discount on the amount of the commission.

Why create an company account on the marketplace ?

A company can view expert profiles without having an account. However, in order to contact an expert, they must be registered on the marketplace. The information required is first and last name, e-mail address, telephone number, and of course a password to ensure the confidentiality of data and exchanges with the experts. In order to book services and carry out transactions, the company will have to provide other information (status, VAT number, IBAN...).

How to search for an expert ?

In the context of an international assignment, the company launches a search from the home page by entering skills/jobs, geographical areas and keywords to identify the best available profiles in the database. Then, the company will be able to deepen its knowledge of a profile by consulting its file. Once a certain number of experts have been selected (4 or 5, for example) from the initial selection and additional investigations, the company can contact the experts and offer them an assignment. The experts contacted will send the company an estimate. The company can then decide which expert it wishes to work with.

What is the expert qualification process ?

The trust placed in Mission Internationale depends closely on the quality of the experts registered on the marketplace. Reference letters are associated to the profiles of experts that prove the robustness of their past professional experience, their skills and reliability.

Is it relevant to give a recommendation and/or a scoring to an expert ?

Contributing to an expert's reputation is important. If the mission has given satisfaction thanks to an efficient execution with the achievement of the objectives set, the company is invited to give an evaluation concerning the different expertises of the consultant. An expert can thus stand out and increase his visibility on the marketplace according to the number of positive evaluations he will have received. It is advisable to leave a comment at the end of the mission.

Is it useful to meet the expert ?

It is very likely that the expert and the company are located in two different countries, or even on different continents. In this case, the use of technological communication tools such as Skype, Zoom... is recommended to exchange and get to know each other, and of course, face-to-face meetings, when possible, can take place at the same time.

For more security, it is recommended to exchange with the expert directly from the messaging system of the marketplace. This makes it possible to keep a history of messages and archive them, which can be useful in the event of a dispute. When the company receives an email notification, it can respond directly to the notification message. Responses are stored in the International Mission messaging system.

How to ensure that the expert is in good administrative, legal and financial standing ?

As a trusted third party, Mission International requires experts to provide legal proof of their identity and professional status and to certify that they are in compliance with the law. How does Mission Internationale ensures legal protection ?

Mission Internationale subscribed a "professional liability insurance policy for service providers" with an insurance company in order to enable the Experts to benefit from insurance coverage within the framework of the Services provided by them via the Marketplace, under the conditions stipulated in the policy.
This insurance covers the Expert as from the validation of the tariff proposal by the Client.
Details of the cover taken out (in particular nature, limits, deductibles etc...) and the special conditions of cover of the policy by International Mission are available on request. The Expert is free to take out professional civil insurance himself in his own name and on his behalf, in particular in order to extend the geographical and/or temporal scope of the guarantees covered by the policy taken out by Mission Internationale or to reduce the amount of the deductibles provided.

Can the company be accused of abuse of economic dependence?

The company is not in a situation of abuse of economic dependence provided that the expert it has commissioned proves that it has other clients in its portfolio. A state of economic dependence would mean that the expert has no other opportunity than to work with the same company over and over again. Mission Internationale ensures that experts can be contacted by several clients. There is a large number of companies that will potentially seek the expertise of an expert, which will allow him to diversify his portfolio. It is advisable not to develop a collaboration with the same expert for more than 18 months.

Can the company's accounting department pay the expert?

It is possible for the company's accounting department to manage the payment of the expert. To do so, simply enter the department's details in the "Company" section and print the invoice.

How is the invoicing process managed ?

What about long term missions ?

Mission Internationale recommends that the mission is broken down into sub-missions with a quote for each one. This system makes it possible to accept quotes at the end of each month for the following month. It is important to respect this process in order to benefit from regular payments and to have a third-party liability insurance.

What happens if missions are suspended before the scheduled date?

In the event of a dispute between the expert and the company, the latter may be reimbursed the funds that have been prepaid. To do so, please contact Mission Internationale who will validate with the expert that he agrees with this decision. The reimbursement process will be carried out via our payment solutions partner, Mangopay.

Are the invoices issued on the letterhead of the International Mission or that of the expert?

Mission Internationale has an invoicing mandate from the experts registered on the marketplace as soon as they draw up an estimate. Consequently, Mission Internationale can issue invoices in the name and on behalf of the expert that the company has commissioned.

How to close a mission ?

To complete an assignment, the company selects the mission it wishes to close once the post-mission report has been validated. This document certifies that the mission has been carried out and that the objectives have been met. The funds provisioned and placed in the hive-off account will then be transferred to the expert. As soon as the end-of-mission report has been validated, the invoice is issued automatically. It is possible to print it in pdf format.
